Position Overview
A key responsibility of the role will be to support the transition from manual accounting processes to a structured, system-based financial environment, including the selection, implementation, and use of accounting software.
Duties & Responsibilities
Financial Administration & Operations
- Maintain accurate and up-to-date financial records
- Manage day-to-day bookkeeping, including recording transactions, expenses, and income
- Process supplier invoices and payments in coordination with the procurement team
- Manage and reconcile accounts payable and receivable
- Maintain accurate petty cash records
- Manage payroll processes, including salary calculations, deductions, and statutory payments
Bank and Cash Management
- Manage and reconcile all organisational bank accounts
- Perform regular bank reconciliations and resolve discrepancies
- Monitor cash balances and support cash flow tracking
- Manage internal fund transfers across accounts where required
- Follow up on payment issues with banking partners (local and international)
Financial Reporting
- Prepare monthly management accounts and financial reports
- Support preparation of financial statements and audit schedules
- Produce rolling cash flow reports
- Support basic forecasting of operational expenses and inputs into budgeting
- Prepare financial reports required by donors and funding partners
Accounting Systems and Process Improvement
- Support the selection and implementation of accounting software (e.g., QuickBooks, Xero, or ERP systems)
- Ensure proper use and maintenance of accounting systems
- Identify opportunities to integrate financial systems with procurement and operational processes
- Support digitisation and improvement of financial processes and record-keeping
Compliance and Audit Support
- Ensure compliance with Rwanda Revenue Authority (RRA) tax regulations and other statutory requirements
- Support compliance with donor financial requirements and reporting standards
- Prepare documentation and schedules required for external audits
- Support internal control processes and compliance with financial policies
Funding and Grant Administration Support
- Track and reconcile funding received, including grants and programme funds
- Support monitoring of different funding streams
- Assist in maintaining accurate records of donor-related transactions
Other Responsibilities
- Maintain records of organisational assets and financial documentation
- Provide ad hoc financial and administrative support as required
Skills & Experience
- Bachelor’s degree in Accounting, Finance, or related field
- Minimum of 3 years’ experience in bookkeeping or financial administration
- At least 1–2 years’ experience using accounting software (mandatory)
- Strong knowledge of accounting principles and standards (IFRS)
- Experience working in donor-funded or project-based environments is an advantage
Key Skills
- Strong attention to detail and accuracy
- Good time management and ability to prioritise tasks
- Proficiency in Microsoft Excel and digital document systems (e.g., SharePoint)
- Strong communication skills, both internally and externally
- Self-motivated and proactive
- Ability to work in a fast-paced and evolving environment
- High level of integrity and discretion
