Job descriptions & requirements
The Senior Accountant is responsible for overseeing the finance and administration accounting function which entails enforcement of financial controls, posting financial transactions and timely submission of accurate financial reports.
Finance Operations
-Making payments of all authorized invoices within agreed timelines and maintenance of up to date records for all vendors and customers.
-Booking of product vendor invoices, debit note, credit note (SAP MIRO) and matching against payments and reconciliation of trade payable fuels, clear the invoices against payments to ensure payments are done on time.
-Ensuring accurate monthly provisions of un-invoiced expenses and correct monthly charge out of prepaid amounts.
-Posting and reconciling expense accounts, accruals, prepayments, provisions and ensure necessary journals are posted.
-Reconciling Balance Sheet accounts (Payables, vendor clearing accounts and Debtors circularization).
-Supporting in the sales order processing ( Receipting, daily sales order delivery block release and billing).
-Undertaking intercompany reconciliation for all the related parties, follow up on closure of the open items and ensure quarterly sign off with respective related parties.
-Responsible for maintenance of fixed assets register and monthly depreciation run.
-Carrying out bank reconciliation on a monthly basis to ensure all payment and receipts have been captured correctly and books are accurately maintained.
-Coordination of tax audits , follow up and engagement on any tax related matters with tax authorities.
-Making payments of authorized invoices within agreed timelines
-Maintenance of up to date records for all vendors and customers.
-Ensure tax returns are filed within the specified monthly timelines.
-Prepare product costing for review by Finance manager including vessel-wise landed costs to management/sales team to aide in pricing decisions.
-Petty cash management – Ensure all the transactions across all locations are posted on time, petty cash replenished on time.
-Support month-end and year-end closing process
Financial Reporting
-Coordinate roles and activities leading to end month reporting and preparation of Monthly Management Reports to support management in timely decision making.
-Monthly EPM TB upload for accounts analysis and reports generation in line with standard operating procedures to identify trends or anormalies.
-Support in providing data during the annual budgeting processes and quarterly forecast.
-Prepare daily cash & bank balance report and circulate.
-Prepare monthly cash flow report
Controls and Compliance
-Compliance with Group accounting policy to meet the stipulated statutory guidelines.
-Compliance with Authority matrix to prevent the risk of Company incurring unnecessary losses.
-Provide support documentation for the statutory, internal and statutory audits.
-Ensure timely settlement of the statutory payments to reduce exposure to penalties
Education & Experience Requirements
-Bachelors degree in Accounting/Finance or any related discipline.
-Membership in either of the following professional bodies Certified Public Accountant (CPA-K) or Association of Certified Chartered Accountants (ACCA).
-At least 5 years of post-qualification experience.
-Experience in use of modern accounting/financial techniques and software.
-Must have the experience and capability to ensure timely and accurate preparation of the consolidated financial reports.
-Understanding of finance and accounting principles and standards, responsibilities, code of ethics and certification.
-Ability to identify key audit issues, present audit findings and recommendations to the management.
