SUMMARY
World Precision Instruments is hiring a Virtual Assistant to support its CEO and commercial team from the Grow Rwanda offices in Kigali. This is an office-based role for a sharp recent graduate who wants real exposure to a global life sciences company, hands-on experience with AI productivity tools, and the backing of an experienced team to grow with. You will manage the CEO's calendar, support the sales team, coordinate events, and assist with reporting -- a utility player position with genuine advancement potential and senior stakeholder visibility from day one.

THE ROLE
This is not a traditional administrative role. As Virtual Assistant to the CEO of a global scientific instruments company, you will sit at the center of a fast-moving commercial operation -- managing the CEO's priorities, supporting a high-performing sales team, and coordinating across North America and Europe from day one. The work is varied, the exposure is real, and the people you interact with are senior.

You will use platforms like Claude and other AI assistants daily -- drafting communications, synthesizing research, pulling insights from data, and automating repetitive work that used to take hours. In this role you will be working directly with the CEO, sitting in on strategic conversations, and building an understanding of how a global life sciences company operates commercially. You will not be doing this alone.
You will be based in the Grow Rwanda offices in Kigali, embedded in a team of experienced operators who have built systems, run projects, and supported clients across sales, finance, engineering, and marketing. WHAT YOU WILL DO
CEO Calendar and Meeting Support
• Manage the CEO's calendar, scheduling, and meeting logistics across time zones
• Prepare agendas and briefing notes ahead of key meetings
• Track action items and follow up with internal stakeholders on the CEO's behalf
• Handle correspondence and scheduling with professionalism and discretion
Sales Team Support
• Provide light inside sales support -- list building, contact research, and CRM data entry
• Assist with quote prep logistics and follow-up coordination as directed by the sales team
• Help track pipeline activity and pull together summaries from CRM data
Reporting and Systems
• Run ad hoc reporting and light business intelligence requests from existing data sources
• Pull and format data from internal systems (Salesforce, Syspro) into clear summaries
• Support the team in keeping CRM and shared systems up to date and organized
Events and Conference Coordination
• Manage logistics for trade shows, scientific conferences, and company events
• Handle conference registrations, badge orders, travel coordination, and vendor follow-up
• Free up the marketing team to focus on content and strategy by owning the logistics layer
General Administrative Support
• Draft and proofread communications, memos, and documents as directed
• Manage shared files and maintain organized records across platforms
• Assist with a wide range of ad hoc tasks as priorities shift -- this role rewards adaptability
WHAT WE ARE LOOKING FOR
Required
• Recent graduate with a bachelor's degree, ideally in business, communications, or a related field
• Excellent written and spoken English -- you communicate clearly, quickly, and professionally
• Strong working knowledge of Google Workspace or Microsoft 365 (email, calendar, Docs, Sheets, Slides)
• Organized, detail-oriented, and reliable -- you follow through without being reminded
• Comfortable working independently across time zones with minimal oversight
Preferred
• Some familiarity with CRM tools such as Salesforce, or a demonstrated ability to learn systems quickly
• Comfort using AI tools (Claude, ChatGPT) for drafting, summarizing, and research tasks
• Any experience with event coordination, conference logistics, or inside sales support
• A genuine interest in science, research, or the life sciences sector
WHAT SUCCESS LOOKS LIKE
In your first 30 days, you will have learned the rhythm of the business, gotten comfortable in the systems, and handled your first set of tasks independently. By 90 days, you will have meaningfully reduced the administrative load on the CEO and the commercial team, and you will have become the go-to person for operational coordination.
